OpenClaw + Twilio  •  SMS + AI Voice

Every job confirmation, ETA alert, and follow-up text — automated through Twilio, triggered by OpenClaw.

Twilio is the communications layer your plumbing operation needs — but without a proper integration to OpenClaw, it's just an expensive phone number. We wire Twilio directly into your CRM so every job event triggers the right message to the right person at exactly the right time. Automated, compliant, and running 24/7.

SMS + AI voice answering TCPA-compliant opt-out handling After-hours AI call qualification

Six ways Twilio + OpenClaw transforms customer communications

Every customer interaction that happens manually today — confirmation calls, ETA texts, review requests — runs automatically through Twilio, triggered by OpenClaw job events. Your office staff handles exceptions, not routine communications.

Automated Appointment Confirmations

When a job is scheduled in OpenClaw, Twilio sends an immediate SMS confirmation to the customer with the date, time window, technician name, and a one-tap option to confirm or reschedule. No office staff involved. No customers wondering if they're on the calendar.

Tech ETA Alerts

When a technician marks "On My Way" in the OpenClaw mobile app, the customer immediately receives a personalized SMS with the tech's name and an estimated arrival window. Customers stop calling your office asking where their plumber is — because they already know.

AI Voice Answering

Inbound calls route through Twilio's AI voice layer before reaching your office. The AI greets the caller, asks what they need, qualifies the job type and urgency, and either books the appointment directly or routes to a live agent with a summary of what the customer said. No calls go to voicemail unanswered.

After-Hours Call Handling

After 6pm and on weekends, calls route to Twilio's AI before reaching your on-call tech. The AI qualifies whether the call is a genuine emergency (active leak, no water), a semi-urgent issue that can wait until morning, or a routine inquiry. Genuine emergencies get connected to your on-call line. Everything else gets a morning callback scheduled.

Review Request SMS

Four hours after a job is marked complete in OpenClaw, Twilio sends an automated review request text with a direct link to your Google Business Profile. Timing is configurable. The four-hour window is deliberate — close enough for the positive experience to be fresh, long enough for the customer to have used their water and confirmed everything works.

Quote Follow-Up SMS Sequence

When a quote is sent from OpenClaw and not accepted within 48 hours, Twilio fires the first message in a follow-up sequence. Day 2 is a reminder with the quote summary. Day 5 is a final outreach with your business phone number. The sequence stops the moment the quote is accepted — no awkward messages to customers who've already booked.

How the AI voice system handles an inbound call

Every call is handled professionally and immediately — whether it's 2pm on a Tuesday or 11pm on a Sunday. The AI qualifies, routes, or books based on what the caller needs.

01

Call comes in

Customer calls your main business number. Twilio intercepts before the ring reaches your office or on-call tech. AI answers in under 2 seconds.

02

AI greets and qualifies

"Hi, you've reached [Company Name]. What can I help you with today?" AI listens, identifies job type, urgency level, and whether this is a new or existing customer.

03

Routing decision

Emergency (active leak, no water, gas smell) = transfer to on-call. Business hours, non-urgent = book appointment in OpenClaw. After hours, non-urgent = schedule callback.

04

OpenClaw sync

Booked jobs are created in OpenClaw automatically. Callback requests are added as leads. Transfers include a live summary of what the AI collected from the caller.

05

Confirmation to caller

The caller receives an SMS confirmation of their appointment or callback time. If they're being transferred, they're told who they're being connected to and why.

What AI voice handles vs. what it escalates: The AI handles appointment scheduling, callback requests, job type qualification, and after-hours screening — tasks that are scripted and rule-based. It escalates to a live agent for complex quotes, customer complaints, billing disputes, and any call where the customer is visibly frustrated. The escalation threshold is configurable. We build in a "get me to a human" shortcut that works at any point in the call.

How we build the Twilio integration in 21 days

Twilio configuration has more moving parts than a typical integration — phone numbers, webhooks, voice flows, compliance rules. We handle all of it and hand you a live, tested system.

1

Twilio Account Setup & Number Configuration (Days 1–3)

You create the Twilio account (we send you a setup guide). We configure your phone number — either a new Twilio number or your existing number via porting. We set up number capabilities: voice, SMS, and MMS. If you're porting your existing number, we initiate that process immediately because porting takes 2–4 weeks to complete through carriers.

Number porting is initiated on Day 1 to ensure it completes before launch. During the porting period, your old number and new Twilio number run in parallel — no service disruption.
2

OpenClaw Webhook Configuration (Days 4–6)

We configure OpenClaw to send webhook events to Twilio's webhook URL for every trigger we need: job scheduled, tech status updated, job completed, quote sent, quote accepted. We test each webhook with real job events to verify the payload structure and confirm field mapping before building message flows on top.

Webhooks use HTTPS and include signature verification to prevent unauthorized messages from being sent to your customers.
3

SMS Message Template Build & Compliance Setup (Days 7–10)

We draft all message templates based on your business name, tone, and service types. Every template goes through a compliance review: TCPA-required opt-out language on first contact, message timing rules (no texts before 8am or after 9pm local time), and opt-out keyword handling (STOP, CANCEL, UNSUBSCRIBE all route to the same suppression list). Templates are reviewed and approved by you before activation.

TCPA compliance isn't optional — violations can result in $500–$1,500 per message in statutory damages. We build the compliance layer correctly the first time.
4

AI Voice Flow Configuration (Days 11–16)

We build the Twilio Studio voice flow — the call tree the AI uses to handle inbound calls. This includes the greeting, job type identification prompts, routing logic (emergency vs. standard vs. after-hours), hold music, and transfer configuration. We also build the OpenClaw integration for the AI to create jobs and leads directly from completed calls. Voice flow is tested with real calls before going live.

We test with simulated emergency calls, non-emergency after-hours calls, existing customer calls, and angry caller scenarios to verify all routing paths work correctly.
5

Inbound SMS Inbox Setup (Days 17–19)

We configure how customer replies to automated texts are handled. Replies route to a shared inbox — either Twilio's Conversations product or a connected tool your team already uses (Podium, Front, or a simple forwarding rule). We configure intelligent keyword routing: YES triggers appointment confirmation, STOP triggers opt-out, any other reply routes to your live inbox with the full conversation thread visible.

Your team should never receive a "blind" reply — every incoming text arrives with context about which automated message triggered it.
6

End-to-End Testing & Team Handoff (Days 20–21)

We run a complete test cycle with real phone numbers: schedule a test job, verify the confirmation SMS fires, mark the tech on their way, verify the ETA text arrives, complete the job, verify the review request fires at the right time. We test the voice flow with live calls. We walk your team through the message dashboard, how to view opt-out lists, and how to adjust message templates.

Your team gets a one-page reference guide for each message trigger: what fires it, what it says, what happens when a customer replies, and how to pause it if needed.

What flows between OpenClaw and Twilio

The integration is bidirectional — job events from OpenClaw trigger messages, and customer responses from Twilio update records back in OpenClaw.

OpenClaw → Twilio
Job events that trigger Twilio communications
  • Job scheduled → appointment confirmation SMS to customer
  • Tech status "On My Way" → ETA alert SMS to customer
  • Job completed → review request SMS (4-hour delay)
  • Quote sent → start follow-up SMS sequence
  • Quote accepted → stop follow-up SMS sequence
  • Job scheduled (T-24 hours) → reminder SMS to customer
  • Customer phone number → registered in Twilio opt-out check before any message
Twilio → OpenClaw
Customer responses that update OpenClaw records
  • Customer replies YES to confirmation → job confirmed flag updated in OpenClaw
  • Customer replies STOP → phone number added to suppression list, noted on customer record
  • AI voice books an appointment → new job created in OpenClaw with customer details
  • AI voice captures a callback → lead created in OpenClaw with call summary
  • Customer calls during business hours → call log note added to customer record
  • Review request click-through → noted on job record for tracking review attribution

SMS compliance — built in, not bolted on

TCPA violations are serious — $500 to $1,500 per message in statutory damages for non-compliant texts. We build the compliance layer correctly from the start.

Opt-out keyword handling

STOP, CANCEL, UNSUBSCRIBE, END, and QUIT all trigger immediate opt-out and add the number to your suppression list. The customer receives a one-time confirmation that they've been removed. No further messages are sent from any of your Twilio numbers.

Message timing rules

No automated SMS is sent before 8am or after 9pm in the customer's local time zone. The system uses the job address zip code to calculate local time before every message send. Late-night job completions trigger review requests the following morning, not at midnight.

Business identification on every message

Every SMS includes your business name and a callback number. First contact messages include explicit opt-out instructions. TCPA requires commercial SMS to identify the sender — every template we build includes this.

Transactional vs. marketing classification

Appointment confirmations, ETA alerts, and review requests tied to a specific job are classified as transactional messages — they have more flexibility under TCPA. Promotional messages (maintenance offers, referral campaigns) are treated as marketing and subject to stricter requirements. We classify correctly from the start.

Suppression list sync

Opt-out numbers are stored in a master suppression list checked before every message send. If a customer opts out from one automated sequence, they're removed from all automated messaging — not just that particular flow.

Message frequency caps

We configure per-customer message frequency caps — a customer won't receive more than a configurable number of automated messages per week. This prevents the scenario where a customer with multiple active jobs receives 7 automated texts in a day and marks your number as spam.

Your customers expect to hear from you — before they have to ask.

30-minute call. We map out the automations and show you exactly what your customers will experience after the integration goes live.

What automated communications deliver

These outcomes are from plumbing operations running Twilio-connected communications — not assumptions about what automation might achieve.

68%
Reduction in "where's my tech?" calls
Automated ETA alerts eliminate the most common inbound customer call. When customers know their tech is 20 minutes away, they stop calling the office to find out.
4.1×
More Google reviews per month
Review requests sent 4 hours post-job — when the customer is satisfied and the experience is fresh — consistently generate dramatically more reviews than manual, sporadic requests.
100%
Of after-hours calls answered
No call goes to voicemail unanswered. The AI voice system qualifies every after-hours call, books what it can, and escalates genuine emergencies — even when the office is closed.

Questions about OpenClaw Twilio integration

You create and own the Twilio account — we never want to hold your communications infrastructure hostage. We send you a step-by-step guide to create the account (takes 10 minutes), and then we handle all the configuration: phone number setup, webhook connections, message template creation, compliance settings, and voice flow construction. Twilio billing is direct between you and Twilio. We hand you full credentials and access at project completion.
Modern AI voice models have strong accent handling across standard American English dialects and many regional accents. For markets with significant non-English speaking populations, we can configure bilingual voice prompts (Spanish/English is the most commonly requested) and fallback to a live agent when the AI detects low-confidence transcription. We test with real call samples from your market before going live — if the AI struggles with a specific accent, we adjust the model settings and fallback threshold.
All replies route to a shared SMS inbox — either Twilio's Conversations product or a connected tool your team already uses (Podium, Front, or Google Business Messages). Your team sees the full conversation thread and can respond in real time. We configure intelligent keyword routing: STOP triggers opt-out, YES confirms an appointment, and any other reply goes to the live inbox with a notification to your on-duty CSR. No reply falls into a void.
Yes. Twilio charges per SMS sent and received — currently around $0.0079 per message for standard US long-code numbers, plus a small monthly phone number fee (~$1/month). Voice calls are priced per minute. A plumbing company running 500 automated messages per month would pay roughly $4–8 in Twilio usage fees. For higher volumes, 10DLC registration (which we handle as part of setup) reduces per-message costs and improves deliverability. All Twilio usage charges are separate from our sprint fee.
Yes, through a process called number porting. We initiate the port of your existing business number to Twilio in the first week of the sprint — the process typically takes 2–4 weeks depending on your current carrier. During porting, your old number remains active and continues to ring as normal, so there's no service interruption. Once the port completes, your existing number carries all the automation infrastructure. Customers continue calling the number they know.

Your customers shouldn't have to chase you for a confirmation text.

Book a 30-minute call. We'll map your customer communication touchpoints and show you exactly what automated Twilio + OpenClaw looks like for your operation — before you commit to anything.
