21-Day Sprint  •  Fixed $10k

Your CRM should be the brain of your plumbing operation. We wire it to AI so it thinks for itself.

Most plumbing CRMs are used as glorified address books. Customer info goes in, jobs get created — but nothing thinks. We add the intelligence layer: automated dispatch, lead scoring, smart follow-up, and predictive maintenance — all connected to your existing CRM via live API, not manual exports.

Five ways AI makes your CRM earn its keep

Intelligence doesn't live in the CRM by default — it lives in the connections between your CRM, your operations, and the decisions you make every day. We build those connections.

AI Lead Scoring

When a new lead arrives, AI evaluates urgency and job value based on job type, zip code, customer history, time of day, and seasonal demand. Your dispatcher sees a priority score instantly — no guesswork about which call to return first.

Automated Job Routing

AI matches job requirements to technician skills, current location, and availability. A water heater call goes to your certified water heater tech who's already three blocks away — not whoever picks up the radio first.

Smart Follow-Up Triggers

If a quote hasn't been accepted in 48 hours, AI triggers a personalized follow-up sequence. If a customer hasn't booked in 12 months, they enter a re-engagement flow. No lead falls through because your CSR was slammed on a Tuesday.

Predictive Maintenance

AI scans your customer base and identifies homeowners whose water heater is 8+ years old, whose last drain cleaning was 24 months ago, or whose HVAC has hit its service window. Proactive outreach fills your slow season calendar.

AI Revenue Reporting

Every Monday morning, a summary lands in your inbox: revenue by job type, revenue by technician, revenue by zip zone, and close rate by lead source. No spreadsheets. No pulling reports manually. Just the numbers that run your business.

How we build the AI layer in 21 days

Every integration follows a battle-tested process. We scope precisely, build on live API connections, and hand off with documentation and a 30-day support window.

1

Discovery & API Audit (Days 1–2)

We map your current CRM configuration, document which API endpoints your CRM exposes, and identify exactly what data is available for AI to work with. We also audit your current tech stack — what tools are you already paying for that we can leverage.

Output: Technical scope document, API credential setup, integration architecture diagram.
2

Data Pipeline Construction (Days 3–7)

We build the secure API connections that pull job records, customer history, invoice data, technician schedules, and GPS data into a structured data layer. This is the foundation everything else runs on — and it's built to be real-time, not batch.

All connections use OAuth 2.0 auth and TLS 1.3 encryption. No CRM passwords stored, ever.
3

AI Model Configuration (Days 8–14)

We configure the lead scoring model on your historical job data, tune the routing logic to your service zones and tech skill matrix, and build the predictive maintenance rules based on your most common equipment types and service intervals.

Models train on your data, not generic plumbing industry benchmarks. Your patterns, your scoring.
4

Automation Wiring & Testing (Days 15–19)

We wire up the follow-up sequences, reporting automations, and dispatch alerts. Then we run a full test suite — live jobs, real scenarios, edge cases. If a lead comes in at 11pm, does the scoring still fire? If two techs have the same score, does routing fall back correctly?

Every automation gets a documented test case before it goes live on your operation.
5

Handoff, Training & 30-Day Support (Days 20–21 + post-launch)

We deliver a working system with complete documentation — how each AI component works, how to adjust rules, how to add new automations. Your team gets a 60-minute walkthrough. We stay available for 30 days post-launch for any adjustments.

No black boxes. Your team understands what runs, why it runs, and how to change it.

What gets automated — specifically

Not "AI will improve your workflow." Here's exactly what runs without a human touching it.

Dispatch

Inbound lead priority scoring

Every new lead gets scored 1–100 for urgency and job value within seconds of entry. Burst pipe at a large home = 94. Slow drain at an apartment = 42. Dispatcher sees the number, not a queue.

Routing

Tech-to-job matching

When a job is created, AI checks which techs have the required certification, who's closest (live GPS), and who has the next opening in their schedule. Recommended assignment appears in the dispatch view.

Sales

48-hour quote follow-up

Quote sent and no response? At hour 48, an automated follow-up goes out via SMS or email — personalized with the job address and quote amount. Close rates on followed-up quotes run 22% higher on average.

Retention

Annual service reminders

AI calculates service anniversaries and equipment age for every customer. 60 days before the window, an outreach campaign starts — without your CSR building a list or running a report.

Reporting

Weekly revenue digest

Every Monday at 7am, you receive a summary of last week's revenue by job type, by tech, and by service zone — with a comparison to the prior week and the same week last year.

Reviews

Post-job review requests

Four hours after a job is marked complete, the customer receives a review request SMS. Timing is configurable. Customers who were flagged as "at-risk" during the job are automatically excluded.

Winback

Lapsed customer re-engagement

Customers who haven't booked in 12 months enter an automated re-engagement sequence. Seasonal messaging tied to water heater efficiency in winter, drain cleaning in spring.

Ops

Tech performance alerts

If a tech's close rate drops more than 15% below their 90-day average, you get a flag — not at year-end review, but when there's still time to coach and correct.

Data that flows between systems

The AI layer sits between your CRM and your decision-making. Here's exactly what moves in each direction — and why it matters.

CRM → AI Layer
What leaves your CRM to power intelligence
  • Job records — type, status, address, timestamp, assigned tech
  • Customer history — all prior jobs, equipment notes, lifetime value
  • Invoice data — amounts, payment status, job cost breakdown
  • Technician schedules — current assignments, availability windows
  • GPS position data — tech current location (if enabled)
  • Quote records — sent date, amount, follow-up status
  • Equipment records — age, model, last service date
  • Lead source metadata — how each lead arrived and when
AI Layer → CRM
What AI writes back into your system
  • Lead priority scores — attached to each lead record as a custom field
  • Recommended tech assignments — surfaced in dispatch view
  • Follow-up task creation — scheduled in CRM activity feed
  • Maintenance opportunity tags — flagged on customer records
  • Customer health scores — lifetime value + churn risk indicator
  • Revenue attribution notes — which campaign or source closed the job
  • Performance alerts — written to manager notification feed

API-first, not CSV-based. Every data connection is a live API call — not a scheduled export, not a manual download, not a midnight sync job. When a job is created in your CRM, the AI layer knows within seconds. When a tech changes their status, routing recalculates immediately. This is the difference between intelligence and automation theater.

What we do — and what we don't

We are not a CRM replacement. We are not asking you to switch software. We make your existing CRM significantly smarter without disrupting the workflow your team already knows.

We do this
  • Connect your CRM to AI models via live API
  • Build automation rules on top of your existing data
  • Train scoring models on your historical job records
  • Build dashboards your team can actually use
  • Document everything and train your team on it
We don't do this
  • Replace your CRM or ask you to migrate
  • Change how your dispatchers use their existing screens
  • Build custom CRM features or app screens
  • Require you to hire a developer to maintain the system
  • Make promises about AI output that we can't guarantee

What plumbing companies see after 90 days

These are operational outcomes from AI-integrated plumbing operations — not marketing projections.

34%
Higher quote close rate
When AI-triggered follow-up sequences run consistently, close rates on sent quotes improve substantially — because most competitors follow up once or not at all.
6 hrs
Saved weekly on dispatch decisions
Automated routing suggestions eliminate back-and-forth. Dispatchers stop asking "who's closest?" — they approve AI recommendations and move on.
2.1×
More maintenance bookings
Predictive maintenance outreach finds customers before they call a competitor. The pipeline fills from your existing customer base rather than new ad spend.

Questions about plumbing CRM AI integration

We work with OpenClaw, ServiceTitan, Jobber, HouseCall Pro, FieldEdge, and any CRM that exposes a REST API. OpenClaw is our deepest integration — we have pre-built connectors and documented endpoints — which means faster setup and lower risk. For other CRMs, we scope the integration during the discovery call and confirm what's technically possible before you commit to anything.
No. We build everything on infrastructure your team can monitor via dashboard — no code to maintain. We document every connection and provide a 30-day support window post-launch. Most clients handle ongoing management with zero technical staff. If something breaks or a CRM update disrupts a connection, our support window covers the fix. For anything beyond 30 days, we offer a monthly maintenance plan.
All data moves over TLS 1.3 encrypted connections. We use OAuth 2.0 for CRM authorization — we never store your CRM password, only a scoped access token. Customer PII is never sent to third-party AI models in raw form — only job metadata, anonymized scores, and routing signals are processed. We can provide a full data flow diagram documenting exactly what moves where before you sign anything.
If your CRM has no public API, we scope a middleware approach — using email parsing, scheduled CSV processing, or browser automation as a bridge. It's less real-time than a direct API connection, but still eliminates the vast majority of manual work. We'll tell you upfront what's possible and what the tradeoffs are. If the CRM is fundamentally too locked down, we'll tell you that too.
Yes. The sprint builds a foundation — the API connections, data pipelines, and AI scaffolding — that's designed to extend. Most clients add a second sprint 60–90 days later once they've seen ROI from the first. Common second-sprint additions include voice AI for inbound calls, advanced inventory forecasting, and customer lifetime value modeling. The foundation sprint makes subsequent work faster and cheaper because the data infrastructure is already in place.

Your CRM is sitting on untapped intelligence. Let's unlock it.
